How do I book a private Bali experience with you?

We reply with a written quote and itinerary, you confirm with a deposit, and you receive a booking confirmation plus your driver-guide’s name and contact before the day. No account, no app.

Bali Experiences is an independent Bali tour operator and booking concierge. We arrange private day tours and curated experiences with vetted local guides and drivers across the island. We do not own the temples, waterfalls, restaurants, or vehicles you visit and use, so a few answers below depend on a third party (a venue, a national park, a hotel) rather than on us alone. Where that’s the case, we say so plainly.

What’s the fastest way to get a quote?

WhatsApp is fastest. Most messages sent during Bali daytime hours (roughly 8am to 9pm WITA, GMT+8) get a first reply within an hour or two. Email works too and suits longer multi-day plans where you want everything in writing. Tell us four things and we can quote in one round:

  • Your dates (and whether they’re fixed or flexible)
  • Where you’re staying (Seminyak, Ubud, Nusa Dua, Canggu, Uluwatu, etc.)
  • Group size and ages (children’s pricing and seating differ)
  • What you want to see or do (or say “surprise me” and we’ll propose)

How does hotel pickup work?

Pickup is included from most hotels and villas in South Bali and Ubud at no extra charge. Your driver-guide collects you from the lobby or villa gate at an agreed time, usually between 7am and 9am for full-day tours, and returns you to the same address. We send the driver’s name, photo where available, vehicle type, and phone number the evening before.

If you’re staying somewhere remote or arriving from the airport, just tell us the exact address and we’ll confirm whether a small transfer fee applies before you commit. Prices quoted here are subject to change; your written quote is the figure that holds.

What payment methods do you accept and when do I pay?

We typically take a deposit to confirm a booking, with the balance due before or on the day of the experience. The deposit secures your driver-guide and any pre-booked tickets. Exact split and accepted methods are confirmed in your quote, because they can vary by experience and season.

Common arrangements include bank transfer, and where available, card or e-wallet payment. We’ll always state the amount, the currency, the due date, and the method in writing before you pay anything. What’s your cancellation and reschedule policy?

Cancellation terms depend on the specific experience, because some involve pre-paid park tickets, boat charters, or restaurant reservations that the third-party provider won’t refund. Your written confirmation states the exact window and any non-refundable portion for your booking. As a general shape:

  • Free or low-cost reschedule is usually possible when you give us enough notice (we confirm the cutoff per booking).
  • Weather and safety: if a provider cancels an activity for safety reasons (rough seas for a boat day, for example), we work with you to reschedule or refund the affected portion.
  • Pre-paid tickets and charters may be partly or fully non-refundable once issued; we flag these clearly before you pay.

We’d rather over-explain the terms up front than surprise you later. Ask us to spell out the cancellation window for any quote and we will.

What group sizes do you handle?

We arrange private experiences for solo travellers, couples, families, and small groups. Vehicle capacity sets the practical ceiling per car, so larger groups travel in multiple vehicles or a larger van, which we quote accordingly.

Is your service accessible for older travellers or guests with mobility needs?

Bali itself is uneven: many temples, waterfalls, and rice-terrace viewpoints involve steps, slopes, or unpaved paths, and we can’t change that. What we can do is match the itinerary to your mobility. Tell us about wheelchair use, limited walking, or other needs, and we’ll steer toward sites with easier access, shorter walks, and seating, and we’ll be honest when a place isn’t suitable. We arrange vehicles with comfortable seating, but we don’t operate specialised wheelchair-accessible vans ourselves, so we’ll confirm what’s realistic before you book.

What does the concierge service actually include?

Our concierge service is the planning and coordination layer around your experiences. It includes:

  • A written, itemised quote and itinerary before you pay
  • Booking and confirming your driver-guide and any tickets or reservations
  • A point of contact (us) on WhatsApp if anything changes on the day
  • Adjustments to timing or stops where the provider can accommodate them

It does not include things we don’t control: a venue’s own rules, national park entry conditions, weather, or third-party operating hours. We coordinate; the local guides, drivers, and venues deliver the experience on the ground. That division is deliberate and we keep it transparent.
